Sam Movers 4U — London Removals & Man and Van Services

1. Who We Are

Sam Movers 4U is a London-based removal and man-and-van company registered in England under company number 12475573. Our registered address is 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. We act as both a data controller and data processor for the personal information you provide when requesting quotes, booking moves, or contacting us.

We take your privacy seriously. This policy explains what information we collect when you use our removal services, how we store and protect it, and what rights you have over your data.

2. What Information We Collect

When you request a quote or book a move, we need certain details to provide an accurate price and arrange your removal. This includes:

  • Contact details: Your name, phone number, email address, and billing address
  • Move details: Pickup and delivery addresses (including postcodes), property type, property size, number of rooms, and preferred move date
  • Service requirements: Whether you need packing, storage, piano removal, or furniture assembly
  • Special instructions: Access restrictions, parking arrangements, fragile items, or other notes relevant to your move
  • Payment information: We collect payment details only through Stripe — we do not store full card numbers on our systems
  • Correspondence history: Records of emails, calls, and messages related to your move

3. How We Use Your Information

Your data helps us deliver removal services. Specifically, we use it to:

  • Generate accurate moving quotes based on your property size and distance
  • Schedule your removal and allocate the right vehicle and crew size
  • Communicate arrival times, access instructions, and any service changes
  • Arrange parking suspensions or permits with your local London borough council when required
  • Process payments securely via Stripe for deposits and final balances
  • Contact you after your move for feedback and to resolve any issues
  • Send service reminders for storage customers

We do not sell, rent, or trade your personal information with third parties for marketing purposes.

4. Legal Basis for Processing

Under UK GDPR, we process your data on the following lawful bases:

  • Contract performance: To provide removal services you have requested
  • Legitimate interest: To communicate about your move, arrange access, and handle post-service queries
  • Legal obligation: To retain records for insurance, VAT, and Companies House requirements
  • Consent: When you opt in to marketing communications

5. Analytics and Cookies

We use Google Analytics to understand how visitors use our website — which pages they view, how long they stay, and what areas of London they are searching for removal services from. This helps us improve our content and make sure our area pages are useful to customers across all 32 London boroughs.

Google Analytics collects anonymised data such as your browser type, device, approximate location (city level only), and pages visited. It does not identify you personally. You can opt out of Google Analytics by installing the official browser add-on (tools.google.com/dlpage/gaoptout).

Our website itself does not set tracking cookies. Google Analytics sets its own first-party cookies (like _ga, _gid) for anonymous traffic analysis. Your browser settings allow you to block or delete these cookies at any time. We do not use advertising cookies, remarketing tags, or social media tracking pixels.

6. Who We Share Data With

We share your information only where necessary to deliver your move:

  • Our removal crews: Your name, phone number, and address so they can find you on moving day
  • Stripe: Payment processing — transaction data is handled by Stripe, not stored by us
  • Google Analytics: Anonymised browsing data (no personally identifiable information)
  • Insurance providers: If you make a claim for damage or loss during transit
  • Regulatory bodies: HMRC, Companies House, or law enforcement when legally required

All data transfers to third parties are governed by data processing agreements compliant with UK data protection law.

7. Data Retention

We keep your information for different periods depending on what it relates to:

  • Quote requests (no booking): 12 months after last contact
  • Completed moves: 6 years (to satisfy HMRC record-keeping requirements)
  • Storage accounts: Duration of the storage agreement plus 12 months
  • Marketing opt-ins: Until you withdraw consent

After these periods, your data is securely deleted or anonymised.

8. Data Security

We use industry-standard security measures to protect your information:

  • All quote form submissions are encrypted via HTTPS (TLS 1.3)
  • Customer data is stored in a UK-hosted PostgreSQL database with encrypted connections
  • Payment processing is handled entirely by Stripe — we never see or store full card numbers
  • Access to customer data is restricted to staff who need it for your move
  • Automated security headers (CSP, HSTS) protect against common web vulnerabilities

9. Your Rights Under UK GDPR

You have the following rights regarding your personal data:

  • Right to access: Request a copy of all data we hold about you
  • Right to rectification: Correct any inaccurate information
  • Right to erasure ("right to be forgotten"): Request deletion of your data (subject to legal retention requirements)
  • Right to restrict processing: Limit how we use your data
  • Right to data portability: Receive your data in a structured, machine-readable format
  • Right to object: Object to processing based on legitimate interests, including direct marketing
  • Right to withdraw consent: Withdraw consent at any time without affecting the lawfulness of processing before withdrawal

To exercise any of these rights, contact us at the details below. We will respond within 30 days as required by law.

10. Your Rights After a Move

Even after your move is complete, you retain full rights over your data. If you request deletion of your information, we will remove it from our active systems unless we are legally required to retain it (for example, for HMRC or insurance purposes). We will confirm to you in writing once your data has been deleted.

11. Contact Us

If you have any questions about this policy or wish to exercise your data rights:

  • Phone: 07904 140881
  • Post: Data Protection, Sam Movers 4U, 71-75 Shelton Street, Covent Garden, London WC2H 9JQ

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe we have not handled your data correctly.

12. Changes to This Policy

We may update this policy from time to time to reflect changes in our services, legal requirements, or how we process data. Any changes will be posted on this page with an updated revision date. If we make significant changes, we will notify existing customers by email.
